Role Overview

 PIC, a Genus company, has an exciting opportunity. We are looking for an Administrative Assistant to provide high quality administrative support to senior leaders within the business while being the first point of contact for all visitors entering the building. The Administrative Assistant has primary accountability for supporting the Executive Assistant with timely, confidential execution of tasks including calendar management, including travel arrangements, coordination of meetings and events, invoicing and expense management. This position is located in our Hendersonville, TN office and may require occasional travel to other local locations based on business needs for events.

 

The successful candidate has the ability to work in a culturally diverse, fast-paced environment, and is able to multi-task, anticipate needs and while managing competing priorities and maintaining attention to detail. The candidate will also possess strong communication skills, both verbally and in written form, as well as organizational skills.

You Will

  • Represent the organization in a positive and professional manner, creating a welcoming experience for our guests, customers, employees and vendors. Ensure all reach their destination within the complex while following security protocols.
  • Maintain senior leaders’ calendars with confidentiality.
  • Coordinate meetings and events (both on and off-site) including sourcing venues, negotiation with vendors, preparing presentations, catering, and communicating with attendees.
  • Assist with meeting preparations including forming agendas.
  • Accurately complete travel and expense submissions for frequent travel leaders
  • Process invoices and expenses in a timely and accurate manner.
  • Respond in a timely and professional manner to voicemail, email, and requests for information
  • Assist and coordinate details of international visitors including, but not limited to:
    • Provide appropriate documentation, including visa letters
    • Create detailed travel itinerary and prepare meeting agendas
    • Book domestic and international travel (flights, hotels, ground, etc.)
    • Coordinate meetings and induction program with PIC staff and schedule meetings to calendars/itinerary
  • Build and maintain relationships with internal and external contacts.
  • Supports facilities by creating and providing badges for new employees.
  • Uphold the Genus core values, mission and vision.
  • Promote a strong safe culture and follow all safety policies, procedures and regulations. Identify and communicate workplace hazards and correct or seek assistance in correcting unsafe actions or conditions.
  • Position may require work responsibilities outside of normal business hours.
  • Perform other duties as requested to accomplish the objectives of the position

Requirements

  • High School diploma or equivalent
  • 3 plus years experience in a relevant position, including reception or administrative support
  • 3 plus years experience using MS Office suite: Outlook, Word, Excel, and PowerPoint
  • 3 years of customer service experience
