Role Overview

You will provide administrative support to the Global IT Team over the entire S2P process for IT.   

 

You will be responsible for maintaining a calendar of renewals and ensuring all required information is gathered prior to discussions with Suppliers.   

 

You will be responsible for ensuring all purchases are correctly coded in the business ERP, all contracts are filed in the business contracts database and preparing recurring and ad hoc reports on supplier KPIs and Spend. 

 

You will work with IT teams to ensure that all software requests comply with the Approved Software List, and that any additions are raised and agreed upon with IT leadership. 

Essential Duties and Responsibilities

  • Responsible for the Administration of IT contracts and the renewals calendar and all related tasks
  • Timely and accurate production and maintenance of Purchase Orders. 
  • Gathering information from internal stakeholders to support renewal negotiations. 
  • Produce clear and concise renewal summaries to enable stakeholders to approve renewal proposals quickly and with all the facts. 
  • Set up and maintain Supplier and Product information within the business ERP. 
  • Support Purchasing team with Supplier Research and vetting activity including collation of Assurance documents and Financial data.  
  • Support the Finance AP team and department leads with reviewing, coding and seeking approval for IT invoices. 
  • Produce and maintain supplier KPI reports as required by IT stakeholders.  
  • Maintain the Approved Software List. 
  • Undertake software license audits to manage spend on software 
  • Support the data gathering process for Supplier Assurance and ESG requirements. 
  • Assist in managing supplier relationships by attending quarterly business reviews. 
  • Conduct regular assessments of supplier suitability to ensure alignment with organisational needs and standards. 
  • Support the migration of individually purchased software or licenses to centrally controlled business or enterprise-level accounts. 
  • Ensure a smooth transition and integration of software assets to centralised systems to optimise usage and compliance. 
  • Assisting in the creation of documentation for new software, version control and licencing. 

Requirements

  • ESSENTIAL  

    • A minimum of 2 years’ experience working in an administrative role or similar experience. 
    • High level of computer literacy, comfortable using Microsoft Office tools such as Teams, Outlook and Word. 
    • Able to utilise Excel to manipulate and analyse statistical and financial data.  
    • Able to prepare and present reports on supplier performance, invoice trending and software asset management. 
    • Good communication skills. 
    • Able to work collaboratively with internal stakeholders and external suppliers. 
    • Able to work on their own initiative. 
    • Be able to manage and achieve tight deadlines.  
    • Able to plan their own workload to meet the needs of the business.  
    • Be organised with a keen eye for detail. 
    • Flexible to meet the requirements of the role. 
    • Excellent people skills that can be adapted to the audience. 

     

    DESIRABLE  

    • Previous experience within the Procurement function. 
    • Experience with ERP platforms ideally Microsoft Dynamics. 
    • Experience using SharePoint and Teams sites. 
    • Experience with digitised document and contract management systems. 
    • Previous Customer Service experience. 
    • Qualifications in Business, Finance, Mathematics or similar subjects.
